The Email Template Settings area empowers you to craft and customise every email that Helm sends - whether it’s to customers, suppliers or your own internal teams

Why Email Templates Matter

  • Consistency – maintain a unified brand voice and visual identity across all communications

  • Contextual Relevance – use dynamic variables (such as {{CustomerName}}, {{OrderNumber}} or {{TrackingURL}}) so each message feels personalised and informative

  • Automation – automate routine notifications like order confirmations, despatch alerts or delivery failures without manually drafting each email

Pre‑Built Templates Ready to Go

Helm provides a comprehensive library of common templates, including:

  • Order Received – confirm order details and expected fulfilment timelines

  • Order Despatched – share tracking information once a shipment is on its way

  • Order on Hold & Statuses – alert customers to delays or payment issues

  • Order in Transit – update customers when parcels are en route

  • Order Out for Delivery – notify customers on the day of delivery

  • Order Delivered – confirm successful delivery and provide feedback options

  • Purchase Order – send POs to suppliers directly from Helm

Use these out‑of‑the‑box templates to hit the ground running, or tailor them further to match your exact needs

Creating or Editing Templates

  1. Create New Template or Select Existing

    • Click Create New Template to start from a blank canvas

    • Or choose one of the library templates from the dropdown to modify

  2. Name & Type

    • Enter a clear Name (eg “Customer – Order Despatched”)

    • Select a Type to categorise your template (eg Customer Notification, Supplier Alert, Internal Notification)

  3. Design & Variables

    • In the HTML editor, add your branding, layout and copy

    • Insert dynamic variables from the Filters list (eg {{OrderNumber}}, {{StoreName}}, {{ShippingService}}) to automatically populate unique data

  4. Import or Export HTML

    • Import HTML if you have pre‑built code from another system

    • Export any template to share with marketing or development teams

  5. Preview & Save

    • Use the Preview function to send test emails and verify formatting across devices

    • Click Save to activate your template

Advanced Tips

  • Conditional Logic – use simple if/then statements (eg {% if OrderTotal > 100 %}) to include special messaging for VIP orders

  • Multi‑Language Support – create separate templates per locale and assign based on the customer’s language preference

  • Version Control – rename older templates with version numbers (eg “Order Despatched v2”) so you can revert or compare changes
