Importing Data into Helm

Helm’s Import feature allows you to bring large volumes of data into the system in one go, eliminating tedious manual entry and ensuring consistency across your records

In the left hand menu click on Processing > Import Data

Step 1: Select Your Import Type

Choose the category of data you wish to upload from the dropdown menu
Options include:

  • Customer and Customer Tag

  • Delivery

  • Inventory, Inventory Barcode, Inventory Container, Inventory Tag

  • Order and Order Tag

  • Purchase Order

  • Supplier

Selecting the correct type tailors the import template to your needs

Step 2: Download and Populate the Template

Once you’ve chosen your Import Type, click Download Template

This pre‑formatted spreadsheet contains all required fields for that data category - simply fill in your records, ensuring each column aligns with your source data

  • Tip – use spreadsheet tools to validate data (e.g. check for missing values, correct date formats) before uploading

Step 3: Choose or Create a Field Map

Field Maps define how columns in your spreadsheet correspond to fields in Helm

  • Select a Saved Map if you have previously imported the same data type

  • Manage Mappings to define custom mappings - for example, map your “SKU Code” column to Helm’s Item Code field

Important

Having accurate maps ensures your data is assigned correctly on import

Step 4: Upload and Confirm

After mapping, click Continue and upload your completed template

Helm will process the file and display a preview of the first few rows

  • Verify that each column aligns with the correct field

  • Resolve any errors or missing values flagged by the system

When ready, confirm the import - Helm will integrate your data immediately

  • Bulk Product Onboarding – add thousands of new SKUs in one operation

  • Customer Database Migration – bring your entire customer list into Helm with contact details and tags

  • Order History Import – seed your system with historic or in‑flight orders to maintain continuity

  • Recurring Updates – schedule regular imports to update inventory levels, order statuses or supplier lists

By leveraging structured import templates and field maps, you’ll maintain data integrity, speed up setup, and keep your Helm instance perfectly in sync with your business operations
