Document Rules give you unparalleled control over every piece of paperwork that Helm generates during your fulfilment process - from collections sheets and packing slips to delivery instructions and gift notes

Why Use Document Rules?
Precision – only produce the exact documents you need for each order
Automation – remove manual print jobs by defining when and how documents are created and dispatched
Consistency – guarantee correct branding, templates and content across all fulfilment paperwork

How to Configure Document Rules
Navigate to Document Rules
In Settings → Despatch Settings, select Document RulesClick Continue → Add Document Parameters
This opens the rule builder, where you define the precise scenario under which Helm should generate or print documentsDefine Your Parameters
Document Type – choose from Packing Slip, Pick List, Delivery Instruction, Gift Note, Customs Invoice or any custom template you have created
Template – select which template to use for this document type, click on Template Settings for more templates
Trigger Event – decide whether documents should be created on Order Creation, Shipment Creation, Order Despatch, or Custom Event
Set Filters
Refine the conditions under which this rule applies by adding filters such as:Order Value (e.g. > £100 for high‑value gift notes)
Product Category (e.g. include hazardous goods declaration)
Shipping Service (e.g. include customs invoice only on international shipments)
Customer Tag (e.g. VIP customers receive personalised packing slips)
Assign Print or Storage Actions
Automatic Print – send the document directly to your default or designated printer (requires Silent Printing setup)
Digital Archive – store a PDF copy in Helm’s document repository for audit or customer service purposes
Email Attachment – optionally email the document to the customer or internal team
Save and Activate
Once your filters and actions are configured, click Save Rule. Helm will now apply this logic silently in the background, ensuring that every piece of paperwork is generated exactly when and how you need it

Example Use Cases
Packing Slip + Gift Note – for gift orders (Customer Tag = “Gift”), print both packing slip and gift note automatically
Customs Invoice – for any order shipping outside the UK, generate and archive a customs invoice PDF
Delivery Instruction – for Fragile items (Product Category = “Glassware”), print a special handling instruction on the despatch label
