Products & Stock in Basic Mode

How product stock works in Helm WMS when your warehouse runs in Basic mode: one stock figure per product, set from the product's Stock Control section.

How Stock Works in Basic Mode

In Basic mode, each product has one physical stock figure for the warehouse. You set that figure on the product itself, deliveries add to it, and stock on open orders is taken off what is available. There are no locations to assign, so a product page has a Stock Control section where a Full mode product has Stock Locations.

Example scenario: a candle maker counts 60 of a scented candle in the stockroom. They open the product, set Physical Stock Level to 60 with the reason "Opening count" and save, and Available shows 60 straight away.

Reading Stock Details

The Stock Details panel on the right of the product page shows three figures:

  • Physical: the stock in the warehouse.

  • In Orders: the quantity on open orders.

  • Available: physical stock less the quantity in orders.

Below them are the product's Stock Control switch and a Stock Logs link. In Full mode, the same panel also shows Available to Pick and Purchase Orders.

How to Set a Product's Stock in Basic Mode

  1. Go to Inventory and open the product.

  2. Expand Stock Control (View and edit the stock levels of this product).

  3. Enter the new total in Physical Stock Level. The field shows the current figure, so type what is on the shelf now, not the difference.

  4. Type why it changed in Stock Change Reason. This field opens once you change the stock level.

  5. Optionally, set a Stock Warning Level. When physical stock falls below it, Helm sends an email or notification to the owner.

  6. Click Save Changes.

Each change is recorded in the product's stock logs with your reason: a change made here shows as a Count, and a received delivery as a Delivery. Click Stock Logs in the Stock Details panel to review them. See Stock Logs.

Recording Where a Product Is Kept

Basic mode has no locations, so each product has a Shelf field instead. Use it to record where the product is kept.

  1. Open the product and find Shelf in Product Information.

  2. Type the shelf, such as A-02 or Back room, top shelf.

  3. Click Save Changes at the foot of Product Information.

Shelves are set product by product on this page, so add one to each product you want to record a shelf for.

When Stock Control Is Off

If stock control is switched off for the warehouse, Helm stops tracking stock: Physical and Available show ∞, the Stock Control section for editing stock is hidden, and the product's own Stock Control switch cannot be turned on. See Warehouse Settings in Basic Mode.

What Full Mode Adds to a Product

For the rest of the product page, such as Product Information, Customs Information, Dimensions and Channel Linking, see Manual Inventory Creation.

If a product's stock does not look right, contact support with the product code and the team can check its stock logs.
